Acanex Online is an online education platform operated by Academic Nexus (Acanex) in Bamenda, Cameroon.

We provide accessible, affordable and quality online learning opportunities. Our platform allows learners to access courses, lessons, quizzes, assignments, examinations, certificates and other educational services.

Our courses may include content aligned with the Cameroon General Certificate of Education Ordinary Level and Advanced Level standards. We may also provide professional, vocational and other educational courses.

Acanex is guided by five values:

Academic Nexus (Acanex) is responsible for deciding how and why personal information collected through Acanex Online is used.

  1. Scope of This Policy

This Privacy Policy applies to:

  • Registered learners
  • Parents and legal guardians
  • Instructors
  • Course applicants
  • Customers and other users of Acanex services

It explains what personal information we collect, why we use it, when it may be shared, how it is protected and the choices available to users.

Acanex operates principally under the laws of the Republic of Cameroon, including applicable personal data-protection, cybersecurity, consumer-protection and electronic-communications laws.

Other laws may apply where required by a user’s location or the services offered.

  1. Information We Collect

The information we collect depends on how a person uses Acanex.

3.1 Learner registration information

When a learner registers on Acanex, we collect:

  • First name
  • Last name
  • Username
  • Email address
  • Password and password confirmation

Passwords are not stored as ordinary readable text. They are processed using the security mechanisms provided by the website and its authentication system.

The password-confirmation field is used to confirm that the password was entered correctly. Acanex does not need to retain a separate copy of the confirmation entry.

3.2 Instructor registration information

When a person registers as an instructor, we initially collect:

  • First name
  • Last name
  • Username
  • Email address
  • Password and password confirmation

An instructor may later be asked to provide additional information necessary to evaluate or manage their instructor account, including:

  • Profile photograph
  • Professional biography
  • Subjects taught
  • Qualifications
  • Teaching experience
  • Course materials
  • Identity or qualification-verification documents
  • Communications with learners and Acanex administrators

Acanex may verify information provided by an instructor before approving, publishing or continuing an instructor account.

3.3 Learning information

When a learner uses the platform, we may process:

  • Courses viewed, purchased or joined
  • Lessons accessed and completed
  • Learning progress
  • Quiz and examination answers
  • Scores, grades and results
  • Assignments and uploaded files
  • Instructor feedback
  • Questions and course discussions
  • Course reviews and ratings
  • Certificates and completion records
  • Dates and times of learning activities

3.4 Technical information

When someone visits or uses Acanex, we may automatically collect:

  • IP address
  • Browser type
  • Device and operating-system information
  • Login dates and times
  • Pages and courses accessed
  • Referring website
  • Failed login attempts
  • Cookie identifiers
  • Error and security logs
  • Approximate location based on an IP address

This information helps us operate the platform, maintain security, prevent fraud and resolve technical problems.

  • Prevent fraud, spam and unauthorised access
  • Investigate complaints and security incidents
  • Enforce the Acanex Terms and Conditions
  • Maintain accounting and operational records
  • Establish, exercise or defend legal claims
  • Comply with applicable laws

Where required by law, Acanex will obtain appropriate consent before processing personal information.

Marketing messages will only be sent where appropriate consent or another legal permission exists. Users may unsubscribe from marketing without losing necessary account, course or security communications.

  1. Learners Under 18

The minimum age for independently registering as a learner on Acanex is 14 years.

The current registration form does not request a date of birth. By independently registering, a user confirms that they are at least 14 years old.

Users between 14 and 17 years old remain minors. Where required by applicable law, they must use Acanex with the knowledge and consent of a parent or legal guardian.

Acanex may request:

  • Confirmation of the learner’s age
  • The name and email address of a parent or guardian
  • Confirmation of parental or guardian consent
  • Reasonable evidence of the parent’s or guardian’s identity and authority

Users under 14 may not independently register. An account for a learner under 14 must be created or appropriately authorised by a parent, legal guardian or authorised educational institution where permitted by law.

If Acanex reasonably believes that a minor registered without the required permission, it may temporarily suspend the account while the matter is investigated. Acanex may delete the information where appropriate, subject to legal and educational record-keeping requirements.

Parents and guardians may contact info@acanex.com regarding information associated with a minor under their legal responsibility.

  1. Instructor Profiles and Photographs

Instructors may voluntarily provide profile photographs to help learners identify them and build trust between instructors and students.

An instructor photograph, name, biography, qualifications, subjects and other professional information may be displayed publicly on:

  • The instructor’s profile
  • Course pages
  • Search results
  • Promotional sections of the Acanex website
  • Other Acanex educational or promotional materials, where the instructor has been appropriately informed

Instructors should only upload photographs they own or have permission to use. They should avoid uploading images containing other identifiable persons without their permission.

Instructor photographs may contain hidden information, such as location data. Instructors should remove unnecessary EXIF GPS information before uploading an image.

Providing a profile photograph is voluntary unless Acanex clearly states that it is necessary for a particular instructor-verification or course requirement. An instructor may request the replacement or removal of a photograph, subject to reasonable processing time and any existing lawful publication commitments.

Acanex may refuse or remove photographs that are misleading, inappropriate, unlawful, of poor quality or inconsistent with the platform’s professional standards.

  1. Payments

Acanex has not yet implemented its final online payment system.

If online payments are introduced, available methods may include MTN Mobile Money, Orange Money or another approved payment provider.

Acanex may receive:

  • Payer’s name
  • Payment telephone number
  • Transaction reference
  • Amount and currency
  • Payment date and status
  • Course or service purchased
  • Invoice or receipt information

Payment providers process certain information under their own privacy policies and security procedures.

Acanex will never request a Mobile Money PIN, complete bank-card security code or account password through an ordinary email, comment, course form or public message. Users must not disclose such information to instructors or other learners.

This section becomes applicable when the relevant payment service is introduced.

  1. Cookies

Acanex may use cookies and similar technologies to:

  • Keep users logged in
  • Protect accounts
  • Remember user preferences
  • Record course progress
  • Support checkout functions
  • Detect spam and suspicious activity
  • Measure and improve website performance
  • Display external videos or content

Cookies may include:

  • Essential cookies: Required for login, security and basic website functions.
  • Preference cookies: Remember language and display choices.

When users submit comments, reviews, questions or assignments, Acanex may collect the information entered together with technical information used for spam prevention and security.

Profile names, instructor photographs, reviews, comments and course questions may be visible to instructors, registered users or the public, depending on the relevant feature.

Users must not publish:

  • Passwords or payment credentials
  • Unnecessary private information
  • Another person’s information without permission
  • Confidential examination materials
  • Unlawful, threatening, defamatory or fraudulent content

Acanex may review, restrict or remove content that violates its rules or applicable law.

Uploaded files may contain hidden information. Users should remove unnecessary personal information and metadata before uploading them.

Assignments intended for assessment should only be accessible to authorised instructors and administrators, subject to the platform’s technical configuration.

  1. Sharing Personal Information

Acanex does not sell personal information.

We may share necessary information with:

  • Authorised Acanex administrators and personnel
  • Instructors responsible for a learner’s course
  • Website-hosting and backup providers
  • Tutor LMS, WordPress and related technical providers
  • Email and communication providers
  • Payment providers when payments are introduced
  • Security and spam-prevention services
  • Analytics providers where implemented
  • Video-hosting or online-class providers
  • Accountants, auditors, lawyers and professional advisers
  • Government, judicial or law-enforcement authorities where legally required

Instructors may only use learner information for legitimate teaching and course-administration purposes.

Service providers should only process information for authorised purposes and apply appropriate confidentiality and security measures.

  1. International Data Transfers

Some providers used for hosting, email, backups, videos, payments or security may store or process information outside Cameroon.

Where personal information is transferred internationally, Acanex will take reasonable steps to comply with applicable Cameroonian requirements, including obtaining required safeguards or authorisations.

The countries involved will depend on the service providers Acanex uses.

  1. Data Retention

Acanex retains information only for as long as reasonably necessary for its original purpose and applicable legal, educational, accounting and security requirements.

For example:

  • Account information may be retained while an account is active and for a reasonable period afterwards.
  • Course progress, results and certificates may be retained to verify educational achievements.
  • Payment and accounting records may be retained for the period required by law.
  • Assignments may be retained for the relevant assessment and appeal period.
  • Security logs may be retained for a limited period unless required for an investigation.
  • Comments and reviews may be retained while they remain published.
  • Complaint records may be retained to show how the matter was handled.
  • Marketing information may be retained until consent is withdrawn or it is no longer required.

Information may be retained longer when necessary to prevent fraud, investigate misconduct, comply with the law or establish, exercise or defend a legal claim.

When information is no longer required, Acanex may securely delete or anonymise it.

  1. Data Security

Acanex uses reasonable technical and organisational measures designed to protect personal information. These may include:

  • Restricted administrator permissions
  • Backups
  • Security monitoring
  • Software and plugin updates
  • Spam and malware protection
  • Login-security measures
  • Confidentiality obligations

No website or internet transmission can be guaranteed to be completely secure.

Users are responsible for:

  • Choosing a strong password
  • Keeping their password confidential
  • Using a secure device
  • Logging out on shared devices
  • Reporting suspected unauthorised access promptly

Acanex administrators and instructors will never need to know a user’s password or Mobile Money PIN.

  1. User Rights

Subject to applicable law and valid exceptions, a user may request to:

  • Know whether Acanex processes their information
  • Access information held about them
  • Correct inaccurate or incomplete information
  • Obtain a copy of information they provided
  • Withdraw previously given consent
  • Object to particular uses of their information
  • Restrict certain processing
  • Request deletion where appropriate
  • Request data transfer where legally and technically applicable

These rights are not absolute. Acanex may retain information required for:

  • Accounting and tax obligations
  • Certificate or academic-record verification
  • Fraud prevention
  • Security investigations
  • Dispute resolution
  • Enforcement of agreements
  • Compliance with court orders or legal obligations
  • Establishment, exercise or defence of legal claims
  1. Privacy Requests and Identity Verification

Privacy requests should be sent to info@acanex.com.

A request should include:

  • The requester’s full name
  • Account email address or username
  • A clear explanation of the request
  • Relevant supporting information

To protect users against unauthorised disclosure, alteration or deletion, Acanex may request reasonable proof of:

  • Identity
  • Account ownership
  • Parental or guardian authority
  • Authority to represent another person

Acanex may refuse, restrict or pause a request where:

  • Identity or authority cannot be verified
  • The request concerns another person’s information
  • The request contains forged or misleading information
  • It is fraudulent, manifestly abusive or excessively repetitive
  • Disclosure would compromise another person’s rights
  • The information must be retained by law
  • The request would compromise security or an investigation
  • Another lawful exception applies

Acanex may retain records of requests, identity checks, investigations and responses as evidence of how the matter was handled.

  1. Complaints

Anyone who believes that Acanex has improperly handled personal information is encouraged to contact Acanex first at info@acanex.com.

The complaint should include:

  • The complainant’s name and account details
  • A clear description of the concern
  • Relevant dates
  • Available supporting evidence
  • The requested outcome

Acanex will verify the complainant’s identity where necessary and investigate the complaint in good faith.

A complaint or accusation does not automatically establish wrongdoing. Acanex may examine account records, system logs, communications, payment records and other relevant evidence before reaching a conclusion.

False statements, impersonation, forged evidence, threats, harassment or deliberate misuse of the complaint procedure may result in account restrictions or other lawful action.

Nothing in this section removes a right or obligation that cannot legally be excluded.

  1. Data Breaches

If Acanex becomes aware of unauthorised access, loss, alteration or disclosure of personal information, it will:

  • Investigate the incident
  • Take reasonable steps to contain it
  • Preserve relevant evidence
  • Correct identified security weaknesses
  • Notify affected persons and competent authorities where required by law

Suspected security incidents should be reported promptly to info@acanex.com.

  1. External Content

Acanex courses and pages may contain videos, images, documents or links provided by external services.

External content may behave as though the user visited the provider’s website directly. The provider may collect technical information, use cookies or monitor interaction according to its own privacy policy.

Acanex does not control and is not responsible for the independent privacy practices or content of external websites.

  1. Changes to This Policy

Acanex may update this Privacy Policy when:

  • New services or courses are introduced
  • Payment methods are implemented
  • Service providers change
  • Security practices are updated
  • Applicable legal requirements change

The revised policy will be published on this page with a new “Last updated” date. Important changes may also be communicated through the platform or by email.

Where applicable law requires new consent, continued use of the platform will not replace that consent.
